Fire Recovery Projects Coordinator

HOURS: Full Time 1 Year Contract
35 Hours per week

Position Description:

Under the direction of The United Way of Fort McMurray Executive Director, this position will ensure the efficient and effective utilization of the United for Fort McMurray Wildfire Funds raised by The United Way of Fort McMurray by ensuring applications are completed appropriately, maintain communication with the applicant to ensure they know where their application is in the process and usher the application through the various approval levels. Coordinator duties include assessing, planning, implementing, monitoring and evaluating actions required to meet the needs of the agency and the funding program.

Responsibilities:

Fire Recovery Funding:

Create documents relating to the Fire Recovery Funding efforts of the United Way (applications, funding agreements, funding reports, letters);

  • Ensuring applications are complete
  • Engaging the Fire Recovery Review Team by providing applications and obtaining recommendations in a timely fashion
  • Ushering applications through the appropriate approval processes
  • Providing bi-weekly funding reports to Fire Recovery Review Team and Canadian Red Cross
  • Advising applicants of approval/denial of funding (if denial, advising them of next steps in process i.e. other funders)
  • Requesting disbursements of funds
  • Completing funding agreements
  • Arranging cheque presentation
  • Scheduling and requesting quarterly reports as applicable; compiling reporting data as needed

Promotion of the Wildfire Funding:

  • Proactively reaching out to agencies regarding fire recovery efforts and providing information and assistance to prospective applicants
  • Directing inquiries from agencies and individuals affected by the fire to the most appropriate source of funding; if individuals, providing them with information regarding other agencies who can offer assistance (Canadian Red Cross, Salvation Army, etc.)
  • Attending agency meetings with Community Investment Coordinators to offer information/advice regarding Fire Recovery Funding
  • Support for Community Partnerships Table as needed (minutes, document preparation, etc.)

Social Recovery Task Force:

  • Attend regular meetings and assist the committee with appropriate follow up
  • Ensure minutes are complete and agendas and minutes are distributed to committee members on a timely basis
  • Ensure support documents such as agendas, minutes, Fire Recovery Committees list, membership list, etc. and distributing notices, special events documents, survey documents and other communications from various agencies and committees as they are distributed
  • Facilitate the PATH Card Program through training, MOUs, launch and evaluation

QuickBase Software:

  • (Client Relationship Management) – work with Quickbase trainers and sales representative (phone meetings; training sessions) to set up cloud based client relationship management database for receiving applications from agencies, receiving reports from agencies and then creating United Way reports of all Fire Recovery Funding efforts; going forward, possible use for Community Investment applications and reports as well; report to Director on progress of this project

Other duties may include:

  • participate in weekly staff meetings
  • attend and help with United Way functions (Tools for School, AGM, Campaign Kick-Off, VIP Event, etc.); represent the organization at sponsored agency events

Qualifications:

  • Must have successfully completed post-secondary education program (Bachelor’s degree or Diploma program) in a related field of study or equivalent work experience
  • Effective communication skills
  • Excellent organizational and time management skills
  • Problem solving skills and ability to multi-task
